Who we are

Queer Ear is a community group. The organisers are responsible for how your personal information is used (the data controllers). Contact us at thequeerearldn@gmail.com.

What we collect

When you register interest, we collect your name and email address. Pronouns, album choices and your note are optional. We also record when you register and your choice about future-night emails, including the date and notice version.

Please keep notes to questions about the event. Don’t include medical information or other sensitive personal details. Queer people and allies are welcome; we don’t ask you to tell us your sexual orientation.

Hosting services may process technical information such as IP addresses, device details and security logs. Host sign-in uses account ID and email address to restrict access to the guest list. Guests don’t need to sign in.

Why we use it

  • This night: to manage registrations, arrange discussion groups, answer questions and send the event updates you requested. Our lawful basis is our legitimate interest in organising and communicating about the event.
  • Future nights: to email you about other Queer Ear events, only if you choose the optional checkbox. Our lawful basis is your consent.
  • Security: to protect the website and restrict host access, relying on our legitimate interest in keeping the service and registrations secure.

Your name and email are needed to register interest. Leaving optional fields blank or declining future-night emails won’t affect your registration. We don’t use automated decision-making to decide who can attend.

Who can access your details

Authorised Queer Ear organisers can access the registration list. OpenAI hosts the site and processes registration data on our behalf, using service providers for hosting and database services.

If you email us, Google processes that message through Gmail. Email delivery from this site is not connected yet; we’ll update this notice when it is. Apple Music and Spotify have their own privacy policies when you follow their links. We don’t sell your details or publish the guest list.

Where information is processed

This site is not restricted to UK-only storage. OpenAI and its service providers may process information outside the UK, including in the US. OpenAI’s data-processing agreement includes the EU Standard Contractual Clauses with the UK Addendum for UK data transfers. How long we keep it

We keep event-registration details while organising the night and dealing with related questions and follow-up. We review the list after the event and delete details that are no longer needed. If the event is cancelled, we review the list once cancellation updates and related questions are dealt with.

If you opt in to future-night emails, we retain the contact details and consent record needed for those emails until you withdraw consent or we no longer run the mailing list. We may retain limited records where needed to meet legal obligations or deal with a dispute. Deletion from our active list may not immediately remove provider backups or security logs, which follow the providers’ retention processes.

Your choices and rights

Email thequeerearldn@gmail.com to stop future-night emails, correct your details or request deletion. Stopping future-night emails doesn’t cancel your interest in this night. Withdrawing consent doesn’t affect earlier lawful processing.

Depending on the circumstances, you can request access, correction, deletion, restriction or portability of your personal data, and object to processing based on legitimate interests. We may need to verify your identity before acting on a request.

Cookies and updates

We haven’t added advertising trackers or analytics tools. Hosting and host sign-in may use technical storage needed to provide and secure the service. We’ll update this notice if we change how we use your information.
